One Login, Every Walk: Organization Accounts for Recurring Events

Vutore™ started as a tool for one event and one purchase — the kind of thing you'd buy for a wedding and never touch again. That works fine for a wedding. It doesn't work as well for an organization, like a local organization chapter, that runs the same branded walk every year alongside other chapter events. Today, without an Organization account, each of those events is created and purchased separately, under separate logins, with no connection between their galleries — a supporter who wants to see last year's walk alongside this year's has no way to find it. Organization accounts are built to close that specific gap.

What most chapters do without a tool like this

Without something built for this, the default is usually improvised: photos get texted to whoever's running the event, emailed in one at a time, or dropped into a shared Google Drive folder that gets linked once and then buried in an old newsletter by the next event. There's rarely a consistent method from one year to the next — a Facebook album one year, a Drive link the next — which makes it hard even for chapter staff to track down photos from an event two years back, let alone a supporter trying to find this year's walk next to last year's. Nothing forces the photos into one place, so a lot of what people actually captured never makes it off their phones.

One login, any event, one shared gallery

An Organization account gives the whole chapter a single login that can create any type of event — you still purchase each event individually. The difference is what happens when you pick the Organization tier for an event: it gets tagged to the organization, comes with unlimited users and unlimited uploads, and plugs into a single shared gallery view across every other organization event. Pick a different tier, and the event just runs on its own, the way any standalone event does.

A gallery that points to your other galleries

The part guests actually notice is on the public gallery page. Anyone who lands on this year's walk gallery now sees a dropdown listing the organization's other events — last year's walk, a sibling chapter's event, whatever else the organization has run. Picking one jumps straight to that gallery. No separate link to track down, no asking staff to dig up an old event page.

That's genuinely useful for the people who show up year after year — a supporter who walked last year and wants to see this year's photos, or someone who wants to relive both, doesn't need to be handed two different QR codes. One gallery leads to all of them.

If the organization has uploaded a logo, it shows up alongside the event branding on the gallery too, so the page reads as "MS Society chapter event" rather than a one-off product page.

Nothing changes about how each event works

Being part of an organization doesn't merge events together. Each one still has its own upload flow, its own QR code, and its own gallery, exactly as if it were set up on its own. The organization layer only adds discoverability between events that were already going to exist separately — it doesn't change what any single event does for the people at it.

How to set one up

Organization accounts aren't self-serve yet — this is a small, sales-assisted segment right now rather than a signup-and-go product line. To get one set up, a chapter reaches out to Vutore directly (email or a call works), and the team creates the organization account and links it to your existing login. From there, every event you create is automatically part of the organization.

Who this is for

If your organization runs one event a year, a standard Vutore event plan probably still fits fine. Organization accounts are for the chapters and teams running the same kind of event repeatedly — an annual walk, a recurring gala, seasonal fun runs — where separate purchases and separate galleries create more overhead than the events themselves. If that sounds like your chapter, reach out and we'll get an Organization account set up.

Frequently asked questions

Does each event still need to be purchased separately?

Yes. An Organization login can create events like any other account, and each event is still purchased individually. Choosing the Organization tier for an event is what adds the shared gallery, unlimited users, and unlimited uploads for that event.

Can I mix organization events with regular events under one login?

Yes. The login can create any event type. Only events set to the Organization tier show up together in the shared gallery dropdown — a wedding or other one-off event created under the same login stays separate.

Who can set up an Organization account?

Anyone can request one — it's not restricted by eligibility. It's just not self-serve yet: reach out to Vutore directly and the account gets created and linked to your login.

Does the organization logo need to meet any design requirements?

No — any image works. Upload whatever logo you have and it displays alongside the event branding on the gallery.

Can multiple chapters share one Organization account?

Technically, yes — events are billed individually rather than the account itself, and each event supports additional admins, so events can be assigned to specific chapter staff. That said, since accounts themselves are free, it's usually simpler to give each chapter its own Organization account rather than sharing one.
